When searching for a supplier to deliver a new piece of work, whether you are outsourcing a fixed deliverable project or an ongoing service, choosing the right one is critical.

Gathering your requirements
We start by gathering your functional and non-functional requirements for the service or project you would like the supplier to deliver. These requirements form the basis for the RFP (request for proposal) and the evaluation matrix. The RFP is sent to the prospective suppliers for them to demonstrate how their solution meets all of your requirements. With these set requirements, Retonomy creates the evaluation matrix containing the criteria by which to measure the proposals.
Managing the bid process
Retonomy takes care of the entire bid process, including setting the plan and timescales, issuing the RFP, receiving the proposals and arranging the meetings to discuss the proposals with the suppliers. Observing how the prospective suppliers respond and behave during this phase will tell you a lot about how they are likely to perform during the contract.
We always recommend to our customers to invite three prospects to the bid process – even if they already have a preference to who they want as the supplier. Doing this:
- provides a comparison with other suppliers in the market
- highlights elements of the service not being offered by the preferred supplier
- ensures the preferred supplier is making their best proposal by providing them with competition
Evaluation and Selection
Based on the functional and non-functional requirements, Retonomy creates evaluation criteria with numerical weighting to evaluate the received bids allowing us to make a consistent, impartial and scientific based assessment of the proposals received.
From this Retonomy provides a ranking of the suppliers with a recommendation based on the scoring of each proposal. The last decision to be made is for our customer to choose the successful supplier!
Once you have chosen your preferred supplier, the negotiation can begin in earnest.
